To make your time with us as smooth as possible, we offer easy access to patient forms ahead of your appointment. Completing them in advance helps us focus more time on your pet once you arrive.

 

Policies

Appointment & Cancellation Policy

Arrival Time & Grace Period

To provide timely, high-quality care for every patient, we kindly ask that you arrive 5 minutes early for your appointment. Arrivals more than 10–15 minutes late may need to be rescheduled and may be subject to a $25 late fee.

Missed or Late-Canceled Appointments

Missed or late-canceled appointments may incur a $25 fee after the first occurrence. Surgical no-shows may result in forfeiture of the surgical deposit.

Cancellations & Rescheduling

If you need to cancel or reschedule, please give:
24 hours’ notice for standard exams
48 hours’ notice for surgeries and dental procedures
Failure to provide sufficient notice prevents us from offering that time slot to a pet in need of urgent care.

Please note that medical emergencies take priority and may occasionally cause delays. We truly appreciate your patience and understanding as we care for pets in urgent need.

When to Seek Care

Please seek immediate care if your pet experiences any of the following: 
Difficulty breathing or heavy panting. 
Ingestion of a known toxin (chocolate, grapes, rodenticide, etc.). 
Inability to urinate (especially in male cats). 
Sudden collapse or inability to stand. 
Severe bleeding or trauma (e.g., hit by a car). 
Hard, bloated, or distended abdomen. 
Seizures lasting more than two minutes.

Financial Policy

Our goal is to provide exceptional, compassionate care for every pet we serve. To help us deliver the highest level of medical care and transparency, we’ve outlined our financial policy below.

Payment at Time of Service

Payment in full is required at the time services are performed. For your convenience, we accept: 
​Credit/Debit: Visa, Mastercard, American Express, and Discover. ​
Digital Wallets: Apple Pay, Google Pay, and Samsung Pay. 
​Financing: CareCredit and Scratchpay. ​
Cash & Personal Checks (Checks may require a valid ID and electronic verification).

Treatment Estimates

We provide written estimates for all surgeries, hospitalizations, and complex medical cases. A deposit of 50% of the estimated cost is required before your pet is admitted for these services. Please understand that estimates are not "fixed quotes," as medical situations can evolve. We will make every effort to contact you if costs are expected to exceed the original estimate.

Financing Options

We understand that unexpected emergencies happen. We partner with third-party providers to offer monthly payment plans: 
​CareCredit: Offers 6-month "no interest" plans for qualifying purchases over $200. ​
Scratchpay: Provides simple payment plans with no hidden fees and a soft credit check. 
Please apply for these options online or via our mobile app prior to your appointment.

Pet Insurance

We highly recommend pet insurance. Please note that EPVC does not bill insurance companies directly. The pet owner is responsible for the full bill at the time of discharge and for submitting claims to their provider for reimbursement.

Late Payments & Missed Appointments

Balances not paid within 30 days may incur a monthly finance charge. Unpaid accounts sent to collections will be subject to applicable collection and legal fees. Appointments canceled with less than 24 hours’ notice may result in a $25 no-show fee.

Prescription & Pharmacy Policy

The Annual Exam Requirement

By law, a valid Veterinary-Client-Patient Relationship (VCPR) is required to prescribe medication. This means your pet must have been examined by one of our veterinarians within the past 12 months. Some long-term medications may require more frequent exams or routine bloodwork to ensure ongoing safety.

Refill Request Timing

Please allow 48 business hours for prescription refills. Each request is reviewed by a doctor and processed by our team. We will notify you when your medication is ready for pickup.

In-House & Online Pharmacies

We offer medications through our in-house and online pharmacies, sourced directly from trusted manufacturers to ensure proper handling and storage.
If you prefer an outside online pharmacy, we are happy to provide a written prescription for a $15 fee. Please note that we do not approve or respond to fax or email requests from third-party pharmacies.

Controlled Substances

For safety and compliance, a valid government-issued ID is required when picking up controlled medications, such as certain pain or seizure prescriptions.

Medication Returns

Due to FDA and State Board of Pharmacy regulations, prescription medications cannot be returned or refunded once they have left our facility.

Respect & Kindness

Please treat our team, fellow clients, and pet owners with courtesy and respect. Bullying, harassment, or personal attacks will not be tolerated.

Privacy Comes First

For your pet’s safety, we’re unable to provide specific medical advice in comments or messages without an exam and established VCPR. We also respect your privacy. We will never share photos or stories of your pet without consent, and we’re happy to remove any content upon request.

Medical Information Online

The educational tips we share are meant to be general guidance only and not a replacement for veterinary care. If your pet is experiencing an emergency, please call us directly rather than messaging on social media.

Moderation

To protect our community, we may hide or remove comments that include profanity, hate speech, misinformation, spam, or defamatory statements.
